Prior to each employment period (academic year or summer), departments should identify:
  • Students who will work during the academic year
  • Students who will continue into the summer
  • Students who will not return to the job and/or department
  • Graduating seniors (identify these in August, December and May)
Departments should also identify and advertise jobs for which student employees are needed.

Academic Year End Procedures
Student Employment Services will automatically put all active jobs on a "Mass Leave of Absence" or "Mass Termination" prior the end of the academic year. The specific action will be announced during the spring semester along with effective dates and directions on hiring for summer and the following academic year.

Departments must terminate students who will not work for the department again.

Summer Employment Procedures:
Summer hiring procedures for new hires and rehires will depend on whether there is a Mass Leave of Absence or a Mass Termination. Specific directions will be sent to the Student Employment listserve in the spring semester.

Graduating seniors are allowed to work until the Wednesday immediately following graduation. Graduating seniors expected to work through Reunion Weekend must be terminated from the student payroll and appointed as "Casual" workers on a UPAF which goes through OHR.

Federal Work-Study Procedures:
Academic Year FWS eligibility ends the Wednesday following May graduation unless otherwise announced.

Summer FWS eligibility begins the Thursday immediately following May graduation.

FWS eligibility during the summer involves two separate populations: non-registered students, and registered students.

Non-registered students take fewer than 6 credit hours and must apply for FWS eligibility through the "Develop Your Own Summer Internship" program.

Funding is limited for non-registered students and is awarded on a first-come, first-serve basis. Jobs must be career related; payrate must conform with the Cornell student Job and Wage Classification System, and the job must be full-time for a minimum of 8 weeks.

Non-registered students can be appointed to the FWS payroll after the DYO is approved by Student Employment Services, and the department signs a Hiring Confirmation Form.

Registered students take 6 or more credit hours and may or may not have FWS eligibility as part of their Financial Aid package.

REMEMBER:
Students cannot start working until appointed to the student payroll.

Students cannot be appointed to the student payroll and cannot start working until an I-9 Employment Eligibility Form is completed and on file with Student Employment Services.

International students with F1 Visas should complete their I-9 forms at the departmental level.

International students with other visas must first visit the International Students and Scholars Office for confirmation of employment eligibility and to complete their I-9 forms.

All students must have valid U.S. Social Security numbers for tax reporting purposes (both citizens and foreign nationals). If the student does not have a valid SSN or a Social Security card, please direct the student to obtain a card as soon as possible.

Encourage your students to sign up for Direct Deposit as soon as possible.
